Skills Tech Admins Should Have (And Why)!

Administrative professionals are the glue of any company. They play an integral part in holding the team together and without them, most organizations won’t be able to function smoothly.

Below are some skills that all tech admin employees in Singapore (from full-time to part-time and temp) should have:

1. Basic technology skills

A strong background in computer skills is important for those working in admin positions. A good admin should be able to use applications such as Microsoft Office programs (think: Microsoft Word, Excel, Powerpoint, and Outlook) with ease.

It’s also uncommon for administrative executives to learn how to use a customer relationship system (CRM), as they might need to help with data entry from time to time. Some admins might also need to handle customer service platforms as well as even virtual help desks – it really depends on the organization.

Which means that an administrative executive will need to have a thorough understanding of various softwares and browsers in order to perform the job properly.

2. Detail oriented

To be fair, being detail oriented is a skill that’s appreciated at all sorts of positions and roles. However, someone working with the internet or sensitive documents will need to be a lot more detail oriented than usual. This rings especially true for admins who spend their day to day responsibilities handling sensitive client and customer information.

Detail oriented also refers to their keen eye for password protection basics as well as how to arm themselves against possible phising attempts. Considering the sensitive information they deal with, these are just some of the proactive precautions all admins should take note of!

Some benefits of knowing how to use a database management software include:

  • The ability to store, find, soft, review, and print records.
  • Easier way to manage accounts. It also enables employees in the admin industry to keep track of the different accounts, usernames, and passwords.
  • The skills to use data effectively to look for patterns, analyze results, and making good presentations.

These are just a handful of the vast benefits of data management skills a competent tech admin should have. But apart from the handful of benefits available, database management is also important as it speeds up the efficiency and boost data integration for better business intelligence.

4. Critical thinking skills and analytical planning

Much like time management, admin assistants need the skills to be able to plan strategically. For those unaware, strategic planning refers to prioritizing tasks in order of importance. Admins will also need to utilize their planning skills when creating and arranging calendars. As well as promptly updating and re-planning the day when meetings fall through.

If strategic thinking and planning skills are not your forte. Here are 4 ways to improve them:

  • Observe and identify trends. The key would be to routinely explore and combine trends that you see coming up in your colleagues complaints.

  • Ask yourself the tough questions. You want to encourage yourself to think out of the box in order to come up with out of the box solutions.

  • Sound smart: The key to sounding smarter is to sound a lot more strategic. To do this, you need to prioritize and arrange your thoughts quickly. If coming up with a strategic plan on the spot sounds hard, try planning it beforehand. That way, you can practice your answers first.

  • Embrace different opinions: Sometimes, our opinions and solutions invite conflicting opinions. But don’t let this stop you! Conflict enhances our critical thinking skills.

The journey to enhancing our critical thinking skills is an uncomfortable one. It challenges us in ways we don’t usually understand.

5. Communication skills

The ability to communicate well either verbally or through the written word is important. Especially for those looking to break into the admin industry. As the “face of the company”, admin executives are in charge of handling questions and correspondence with both clients and customers.

Additionally, admin executives are also responsible for keeping everyone aligned. Which is why good communication skills are desired in the field.
